Refund Policy

This policy explains when we refund money, how to ask for one, and how long it takes. It sits alongside the billing section of our [Terms of Service](/terms#billing) — the terms are the contract, and this page is the practical version of the same rules. Nothing here removes a statutory right you have as a consumer.

1. The short version

  • 14 days, first payment, barely used. If you paid for a plan or a credit pack within the last 14 days and have spent few or no credits, write to us and we refund it in full.
  • Credits you have spent are not refundable. They were the service — images rendered, copy written. What is left unspent on a first payment still is, within the window above.
  • Work that fails refunds itself. If generation or publishing fails, the credits for that pin return to your balance automatically. You do not have to ask, and it is not a money refund — it is credits you never got the benefit of.
  • Cancelling is not a refund. Cancel any time and your plan runs to the end of the period you have already paid for.
  • Our mistake, our problem. Charged twice, charged after cancelling, or charged for something that never worked? We refund it, whenever it happened.

2. Who you are actually paying

Payments for BatchPin are processed by Polar, which acts as the merchant of record for the sale. That means Polar — not us — takes the payment, issues the receipt, handles sales tax and VAT where they apply, and is the name that appears on your card or bank statement.

Practically, this changes three things for you:

  • Your invoice comes from Polar, and you can download it at any time from the billing portal linked in your account settings.
  • Refunds are approved by us and then issued by Polar back to the original payment method. We cannot send money by any other route.
  • We never see or store your full card number. It does not reach our servers at any point.

3. Subscription plans

Plans are charged in advance — monthly or annually — and renew automatically until you cancel.

First payment. If you ask within 14 days of your first payment on a plan and have spent little or none of that period's credits, we refund it in full. "Little" is meant generously and judged in your favour: a handful of test pins is not a used month.

Renewals. A renewal that you did not mean to keep is refundable within 14 days of the charge, provided you have not spent that period's credits. If a renewal caught you out and the period is unused, we would rather refund it than argue — say so.

Part-used periods. Once you have spent a period's credits, that period is not refundable. Credits are consumed as work is done for you, and the work cannot be returned.

Annual plans. An annual plan is one payment for twelve monthly credit allowances. Within the 14-day window it is refundable in full if unused. After that, we do not refund the remaining months, and cancelling stops the next annual charge rather than clawing back the current one.

Upgrades and downgrades. An upgrade takes effect immediately and is charged from that point. A downgrade takes effect at your next renewal, so you keep the credits you have already paid for.

4. One-off credit packs

Credit packs are bought outright and never expire.

Unspent credits are refundable for 14 days. If you bought a pack and have not used it, ask within 14 days and we refund it.

Partly spent packs are refunded pro rata at our discretion: we refund the unspent portion where the spend was small, and decline where most of the pack is gone. We will tell you which and why rather than leaving you to guess.

Credits are not money. They are a usage allowance with no cash value. They cannot be exchanged for cash outside a refund of the purchase itself, transferred to another account, or withdrawn.

Failed work never costs you a credit. If a pin fails to generate or to publish, its credits are returned to your balance automatically, as a ledger entry you can see in your account. That is not a refund of money and does not need a request — nothing was delivered, so nothing is charged.

5. The free plan

A new account opens on the Starter plan with that plan's monthly credit allowance and no payment method. You can generate and review pins, connect a Pinterest account and publish before you pay anything.

That exists so you can find out whether the product works for you before money is involved — which is also why we are strict about the point above: once you have paid and then spent the credits, the trial was the place to test it.

6. How to ask for a refund

Email [email protected] from the email address on the account, and include:

  • what you paid for (plan or credit pack), and roughly when;
  • the receipt or order number from your Polar email, if you have it to hand;
  • one line on why — it genuinely helps us fix the thing that caused it.

What happens then. We reply with a decision within 3 working days. Approved refunds are issued through Polar to your original payment method, and typically appear within 10 working days, depending on your bank. We will tell you the date it was issued.

If we decline, we say why in plain words and point at the part of this page we relied on. If you think we have it wrong, reply and a human reads it again.

7. Your rights under the law

Nothing in this policy reduces a right you have by law.

If you are a consumer in the EU or UK, you normally have 14 days to withdraw from a distance contract without giving a reason. Digital services are a partial exception: by starting to use the service within that period — generating pins, spending credits — you ask us to begin performance immediately and accept that your right to withdraw ends to the extent the service has been provided. Credits you have not spent are unaffected, which is why the window above exists at all.

Consumers elsewhere keep whatever equivalent rights local law gives them. Where local law is more generous than this page, local law wins.

Chargebacks. If something has gone wrong, email us first — we can usually fix it faster than a bank can, and a chargeback opened before we have been asked will suspend the account while it is investigated. We do not treat a genuine dispute as a breach of the terms.

8. When the charge was our mistake

These are refunded whenever they happened, window or no window:

  • a duplicate charge;
  • a charge after a cancellation that we processed or should have processed;
  • a charge at the wrong amount or on the wrong plan;
  • a period during which the service was substantially unavailable through our fault.

If we close a paid account for a reason that is not your fault, or withdraw the service entirely, we refund the unused part of the period — see Cancellation and termination in the terms.

We would rather refund a borderline case than keep money from someone who feels they were charged unfairly. If that is you, write and say so.

9. Changes to this policy

We may update this policy. The version that applies to a payment is the one published on the day the payment was taken, and the date at the top of this page tells you when it last changed.

For material changes — anything that narrows what is refundable — we give at least 14 days' notice by email or in the app, which matches the notice period in our Terms of Service and our Privacy Policy.
